Evidencer Privacy Notice

Who we are.Evidencer is a trading name of Revenger Ltd, a company registered in England & Wales (company no. 17429645), registered office Unit 13 Freeland Park, Wareham Road, Lytchett Matravers, Poole, England, BH16 6FA, privacy@evidencer.co.uk. We are the controller of the personal data we receive through an Evidencer record.

What we process and why.We process the file and information you choose to upload, the parking-charge reference, technical/access records and security information, in order to operate this voluntary evidence-sharing record, make your material available to the case owner, keep the service secure (including malware checking), deal with queries and retain a limited audit trail. Our lawful basis is our and the case owner’s legitimate interests in operating a secure, voluntary evidence-sharing facility and enabling the case owner to consider material relevant to their parking-charge dispute. You are not required to upload anything, and should provide only material you are authorised to share; please redact unnecessary third-party personal data.

Recipients and processors. Your upload is made available to the case owner. We use processors to run the service: our hosting/storage and authentication provider, a self-hosted malware scanner, and — only where the case owner asks us to analyse a clean upload — an AI processor, each acting under our instructions and under data-processing terms. We do not sell upload data.

International transfers. Where a processor is outside the UK/EEA, transfers are covered by an adequacy decision or by Standard Contractual Clauses with the UK Addendum (or the UK International Data Transfer Agreement).

Automated analysis. Where the case owner requests it, a clean upload may be analysed by an AI processor on our instructions to help the case owner consider the material. This does not produce a decision with legal effect about you.

Your rights. You may request access, correction, erasure or restriction, or object to processing based on legitimate interests. Contact privacy@evidencer.co.uk. You may also complain to the Information Commissioner’s Office (ico.org.uk).

Do not use this facility to serve court documents, statutory notices or other formal legal documents.

Retention (summary)

We keep upload material for the applicable case-retention period — currently up to six years from case closure where necessary to support a possible legal claim or defence — and then delete or anonymise it. Case closure is the earliest of: the case owner marking the matter closed; twelve months after the last recorded activity with no known court or debt action; or final resolution.

Security and audit records are kept for a shorter, documented period. A file awaiting its malware scan is held in private quarantine and may be deleted (with a re-upload requested) if it cannot be cleared. A file found to be infected or of a disallowed type is removed; we keep only a minimal security event (time, hash, verdict, system identifier). Backups expire on our provider’s documented cycle.

Platform terms (voluntary evidence facility)

1. What this is. Evidencer is a voluntary document-management facility that lets you send evidence to the case owner of a specific parking-charge matter, via a link they chose to share. There is no account and no charge to you.

2. Not a legal service or address for service. Evidencer is not a law firm, solicitor, litigation representative or an address for service. Uploading here is not service of any court document, statutory notice or other formal legal document, and changes no deadline. You remain responsible for using the required official channels and meeting all deadlines.

3. Your responsibilities. Upload only material you are authorised to provide; do not upload unlawful, malicious or infringing content; redact unnecessary third-party personal data. We scan uploads and may refuse or remove anything that fails a security check or is not a permitted file type.

4. What we do with it. We make your upload available to the case owner and process it as described in the Privacy Notice above. We may keep a security/audit record. We do not sell your data.

5. No warranty; liability. The facility is provided “as is” without warranty that it will be uninterrupted or error-free. Nothing in these terms excludes liability that cannot be excluded by law.

6. Governing law. These terms are governed by the law of England and Wales.
